Organize your files well
One of the big differences between working together in an office to working remotely from home is the lack of a system connecting your computers. When you’re all working on desktop computers in the office, it’s highly likely that you’ll all have access to a shared hard drive where you can save all of the work you need to collaborate on. When you’re working in different places, you’ll need to find an alternative way to share these files. One of the most common ways of doing this is emailing documents back and forth for people to edit and then send back. The only problem with this is that if several people are working on several different documents at the same time, it can be hard to keep track of the status of each document.
It can be almost impossible to tell who is currently working on a file and indeed whether you actually have the most up to date version of a file. That’s why it’s important to get software that can solve all these problems for whatever project you’re working on. For example, if you’re working on producing work in different languages, it’s important to use translation management software to make sure the project runs smoothly. This software removes the need to send multiple versions of files to each other. Meet up regularly
While you physically can’t meet up with each other as often as you would while working in the office, it’s important that you still plan time to speak to each other whilst working remotely. Avoid long email chains that can get confusing if lots of people reply at the same time or if people fail to spot the messages in their inbox. Instead, plan a time when you can all meet on Zoom. That way, you know that everyone who needs to be involved in taking part in the conversation, and you can get answers almost instantly.
Be contactable throughout the working day
Another challenge of working from home is getting hold of someone when you need them urgently. When you worked in an office, all you would have had to do is walk over to their desk or ring the extension of the phone on their desk. This means it’s highly unlikely that you’ll have any other contact information, like their mobile phone number or home number. Make sure that you have an immediate way of getting in contact with anyone throughout the day.
Don’t rely on just sending an email that someone might not see until it’s too late to solve the problem effectively.
